Role Description
This role will assist with the daily administrative tasks of the Fleet & Facilities department, specifically focused on supporting the Logistics, Maintenance, and Coach Operator teams. Your daily responsibilities would involve assisting with various administrative tasks related to these teams. Additionally, there’s a specific goal to collaborate with the Logistics Manager to establish the Atlanta hub as a standard for other Goss hubs, by supporting the implementation of standard operating procedures and best practices.

Key Areas of Responsibility:
• Create Coach Operator pre and post trip logistical Itineraries including hotel and flight bookings
• Supports Logistics Manager with scheduling, ensuring proper documentation, and addressing any administrative needs that help the coach operators perform their duties effectively
• Collaborate with Travel Concierge team on special requested items
• Confirm and facilitate renters and transportation insurance policy
• Data entry & record keeping by updating internal systems to include maintenance updates
• Schedule interior and exterior cleanings at Atlanta Hub
• Collaborate with hubs to track and order housekeeping inventories
• Support the final accounting process for all rentals as needed
• Support the onboarding for new coach operators (Shirts, CC, Bio’s)
• Account management of Verizon and Direct TV accounts
• Tracking and ensuring functionality of Wi-Fi units
• Maintenance, warranty, and insurance record management
• Support the requisition of maintenance parts ordering
• Responsible for warranty claims
• Perform additional tasks as requested by the Logistics and Maintenance Manager

• Attention to detail
• Strong organizational skills – able to manage multiple systems at the same time
• Attentive to client needs, solving problems, and ensuring client satisfaction
• Ability to learn new organizational software systems
• Flexible schedule during the summer – will require some work on weekends and evenings
• Adaptability, being flexible when dealing with different personalities and situations
• Comfortable with some short seasons of higher stress due to fluctuating workload during the summer months
• Working closely with team members to ensure effective communication and collaboration
